Hi everyone, I’ve just started as the first-ever EA for a VC firm, and I’m currently on day 4 of feeling like I’m underwater. Since there was no predecessor, everyone has essentially dumped every bit of day to day admin and projects they've had in the back of their mind for 3 months on my desk from day one. I am asked to manage inboxes for 2 Managing Partners, the COO, a general Events inbox, and an IR inbox. One partner wants me to act as him - he wants drafts ready to send in his specific tone of voice almost as soon as the emails land. An example of where I'm struggling is that we host a weekly dinner, where I have to manage the invites, send personalised follow-ups as the partners, and then follow up until we get a reply or get a call in, and then continue to track where we go from there. It’s basically a sales pipeline, but I have zero sales experience and our CRM isn't really set up to track this level of comms without me manually updating it 24/7, which if I did I'd be drowning even more. I’ve tried using Claude Cowork and Copilot to build agents for triaging and drafting, but they cannot see into delegated mailboxes so it feels a bit useless. The AI integrations don't seem to recognize anything that isn't my own mailbox. **Does anyone have any tips on:** 1. **Tools:** Are there any AI or automation tools that work with delegated M365 mailboxes for drafting and triaging? 2. **Smart Rules:** How are you setting up outlook rules that can read full context rather than just look for keywords? 3. **Pipeline Management:** When it comes to managing several follow-ups, how do you do it without spending your entire life just updating the CRM? Any advice would be appreciated as I don't have a huge about of experience with this level of inbox management!
